Terms and Conditions & Reservation Policies

Welcome to Machu Picchu Tours. We are thrilled you’ve chosen us for your adventure in Peru. We are a fully licensed and legally registered tour operator based in Cusco, operating under our official business name, Machupicchu Tours & South America E.I.R.L (Tax ID / RUC: 20605872329).

As a legitimate agency authorized by the Peruvian Ministry of Foreign Trade and Tourism (MINCETUR), we adhere to all local regulations to ensure your travel experience is safe, transparent, and seamless. By booking a tour, trek, or travel package with us, you agree to the following policies. We’ve done our best to keep them as clear and straightforward as possible.

1. Booking Deposits

To secure your reservation, we require an initial deposit. Please note that this deposit is 100% non-refundable and non-transferable.

Why? The moment your booking is confirmed, we immediately use these funds to purchase your official government permits and entrance tickets (such as Machu Picchu, Huayna Picchu, or the Inca Trail), as well as train tickets. The Peruvian Ministry of Culture issues these strictly under your exact name and passport number. Once issued, the government does not allow us to refund, transfer, or modify dates under any circumstances.

2. WeTravel & Processing Fees

If you choose to pay via the WeTravel platform, please be aware that any transaction processing fees and credit card commissions charged by the platform are non-refundable. In the event of an approved partial refund, we can only return the net funds that successfully reached our business account, and we cannot absorb third-party processing fees.

3. Cancellations & Timelines

We understand that life happens and plans change. If you need to cancel your trip, you must notify us in writing via email (cancellations via phone or WhatsApp cannot be accepted). Because we contract guides, transport, and services well ahead of your arrival, the following cancellation fees apply based on when we receive your written notice:

4. Special Rules for Treks & Trains

  • Inca Trail & Machu Picchu Tickets: Once purchased, government permits cannot be changed, transferred to another person, or refunded. If you cancel, the ticket is permanently voided by the government.
  • Train Tickets: Train operators (PeruRail and Inca Rail) enforce strict cancellation policies. Outside of their specific flexible windows, tickets are completely non-refundable.

5. Date Changes and Rescheduling

We will do our best to accommodate date changes, but they are strictly subject to the availability of government permits and train spaces. A rescheduling fee will apply to cover the cost of buying new tickets. Please note that once a tour has been rescheduled, the booking becomes completely non-refundable.

6. No-Shows and Early Departures

  • No-Shows: Missing your scheduled pickup or meeting time will result in a 100% forfeiture of the tour cost. We cannot offer rescheduling or refunds for missed departures.
  • Early Departures: If you choose to leave a trek early or skip portions of the itinerary for personal reasons, including altitude sickness, we cannot offer discounts or refunds for the unused services.

7. Unforeseen Events (Force Majeure)

Your safety is our top priority. If tours must be canceled due to extreme weather, landslides, national strikes, or road blockades, we cannot offer cash refunds. Instead, we will issue a Travel Credit Voucher (minus the cost of non-recoverable government permits) so you can reschedule your trip for a later date.

8. Travel Insurance Requirement

We highly recommend purchasing comprehensive international travel insurance before you leave home. If you are forced to cancel for medical reasons, flight delays, or personal emergencies, we will gladly provide all the official tax invoices and legal paperwork you need to file a successful claim with your insurance provider.

9. Refund Processing

If you are eligible for a partial refund, please allow between 15 and 45 business days for processing. Refunds are sent exclusively back to the original payment method. Any currency exchange losses or bank transaction fees are the responsibility of the client.
